Description/Goals

The assistant director is a member of the director's advisory committee which collaboratively works to provide leadership and vision in the establishment of policy and procedures to effectively deliver comprehensive career services.

Responsibilities

The assistant director serves as a liaison to two colleges (Arts & Sciences and Education) and provides service in three functional areas:

Placement

Student Advising/Consultation
Provide students and alumni individual assistance in defining career options, developing employment skills, and job-search procedures.

Employment Training Workshops
Develop, coordinate, and facilitate training and skill development workshops to include resume preparation, job-search strategies, career information technology including Internet links, interview skills, and experiential learning preparation.

Communication/Programming

Resource Development
Coordinate resources in support of programming and independent student accessibility including Internet links, transparencies, electronic media, employer directories, employment vacancy bulletins, etc.

Faculty Development
Coordinate college specific outreach, programming, and customized seminars/workshops/programs based on student needs assessment and faculty requests. Work with and advise faculty/college administrators on the methods to enhance the quality of experiential learning/career development and to expand departmental participation.

Statistical Data Collection/Dissemination
Conduct assessment and follow-up studies through electronic communications, direct mail, and telecommunications of all graduates to determine employment levels, position titles, starting salaries, and continuing professional development.

Marketing

Employer Development
Build partnerships between the university and external communities (business, the public sector, and not-for-profit entities) emphasizing aggressive development and marketing to expand experiential learning and full-time employment opportunities.

Additional Responsibilities

The assistant director will co-supervise a classified staff member with the office manager. The assistant director will be accountable for the coordination, supervision, and reporting of all area activities. The assistant director will also participate in:

  • Staff activities, including events/workshops/ programs.
  • An annual performance evaluation.
  • Professional development activities including involvement in state, regional, and national associations.
  • Publications: Oversee the production of service publications/promotional materials including service overview and topical office handouts including the Job Search Manual and Employers' Guide to Graduates.
  • Credential Services: Oversee the operations of a credential service which allows candidates to maintain a permanent credential file for use in securing employment or to secure admission to graduate or professional school. The assistant director will provide additional services as assigned by the director.

Qualifications

Education
Master's degree (emphasis in student affairs, counseling, human resource management, or related field).

Experience
One to two years of experience in a career office setting. The assistant director will provide additional services as assigned by the director.

Coordinate the career library including the organization of corporate and other employer literature (written materials, videotapes, Internet links) to assist students in their research of potential employment/service opportunities. Solicit and review recommendations of resource enhancements and annual subscriptions.

Career Fair
Provide the leadership and closely collaborate with appointed college liaisons to oversee all facets of the annual career fair. Facilitate necessary communication among members of the career fair committee to ensure the events success. Conduct ongoing assessment and provide feedback as to the effectiveness of the career fair.

Staff Training
Oversee the training and ongoing supervision of graduate student staff members in respect to knowledge of resources, office policy and procedures, student advising, and assigned projects.

Provide continuous training/updated information to all staff members in relation to the CES home page enhancements and Internet applications. Solicit input and provide feedback on methods to more effectively serve students, faculty, alumni, and employers.

The Associate Director will also participate in:

  1. Staff activities, including CES events/workshops/programs,
  2. An annual performance evaluation,
  3. Professional development activities including involvement in state, regional, and national association.

The associate director will assume additional administrative responsibilities in absence of the director and provide supplementary services as assigned by the director.

Assistant Director, Career Development (large private university)

Description/Goals

Serve as the primary career counselor/adviser for students. Develop and administer special outreach programs to inform both faculty and students of the need for long-term career planning and career development, regardless of academic discipline. Plan and administer career development workshops and seminars to guide students from selection of an academic major through the job-search or application to graduate or professional schools.

Responsibilities

  • Serve as the primary career counselor/adviser for all currently enrolled students.
  • Plan and execute numerous campus-wide career development seminars, workshops, a classroom session to educate students in the need for and steps in the career planning process; including, but not limited to, personal effectiveness skills courses, focused career fairs, and classroom presentations by faculty invitation.
  • Cooperate with the academic advisement office in assisting currently undeclared students identify the most appropriate academic major(s) and/or minor(s).
  • Administer and interpret individual interest, skills, abilities, and values assessment instruments; including, but not limited to FOCUS II, the Campbell Interest & Skills Survey, and Holland's Self-directed Search.
  • Assess individual career development needs, providing students the skills necessary to understand the ramifications of their career decisions and actions.
  • Counsel individuals regarding personal problems as they may relate to career identification and refer appropriate individuals for in-depth personal counseling when necessary.
  • Plan and manage specific career services informational programs to be presented to incoming students and their parents during the annual orientation month.
  • Manage the career resources library, including maintaining a current bibliography and reviewing possible new additions of books, periodicals, newsletters, etc.
  • Manage the career services' audio-video library in conjunction with the assistant director of recruitment services.

Qualifications

Education
Minimum of a master's degree in a counseling-related field. Prefer Licensed Professional Counselor designation, or demonstrated progress toward that designation.

Experience
Minimum of five years of experience in a complex counseling role, a complex career services organization, or corporate human resources development role. In an extremely rare instance, eight to 10 years of such specialized experience may be considered in combination with a relevant undergraduate degree.

Special Requirements
Thorough understanding of and commitment to the goals and responsibilities of the centralized career services concept. Effective interpersonal skills, including verbal and written communications, management and training abilities, and public relations are a must. Must possess the following counselor competencies: in-depth knowledge of counseling and career development theories and techniques; skills to use individual and group counseling techniques to assist individuals with career decision and development concerns; skills to assist individuals in identifying influencing factors in career decision making, such as friends, family, educational opportunities, and finances; current knowledge of employment and career planning materials; knowledge of alternative approaches to career development and planning needs for individuals with special needs (handicaps), minorities, older job-seekers, etc. A plus would include in-depth knowledge of available career-related automation packages specifically as they relate to campus interviewing, student/employer/job databases, resume referral, automated sign-up, etc.



Assistant Director, Career Services, Health and Pre-Law (medium private college)

Description/Goals

Serves as primary health professions and pre-law adviser; back-up scholarships and general graduate school adviser. Divides responsibilities between graduate school advising, career counseling, and outreach components of career services. Provides one-to-one career counseling and advising to students and alumni/ae. Develops and delivers multiple workshops and programs. Supervises support staff. Shares coordination of operation functions for graduate advising on rotating basis.

Responsibilities

Typical examples of work performed:

Health Professions and Law School Advising

  • Provides individual and group advising for students and alumni/ae interested in graduate school in the health professions and sciences, including medicine. Serves as primary pre-law adviser and back-up adviser for students interested in scholarships and graduate school in the arts and sciences and other professional programs. Helps students plan curricula and leave-term experiences.
  • Supervises the collection and maintenance of current information on graduate education in all health-related and legal fields, including admissions requirements and application procedures and career information. Develops and maintains written and web-based resources.
  • Keeps records on applicant profiles and acceptance rates. Prepares annual report.
  • Reads all composite letters of evaluation for medical and dental school, for accuracy and consistency of quality, and fairness of the presentation.
  • Maintains contact with testing agencies for the health professions, advisers on other campuses, admissions officers, and alumni/ae to keep informed about current trends.
  • Develops and delivers workshops, career programs, and special events associated with health and legal careers.
  • Assists in the management and implementation of credentials systems.
  • Serves as vice chair to the college's health professions advisory committee and as a liaison to relevant student organizations.
  • Coordinates visits to campus by admissions directors.
  • Supervises program/administrative assistants who work with pre-health and pre-law responsibilities.

General Career Counseling

  • Offers individual career counseling to undergraduates at all levels of academic progress. Assists students in using resources.
  • Interprets SIGI-Plus, Strong Interest Inventory, and Myers Briggs Type Indicator results.
  • Participates in the design and delivery of workshops, programs, and special events.

Operation Responsibilities

  • Monitors workflow to ensure appropriate staffing and project completion.

Special Requirements

Assistant Director, Career Services (small private college)

Description/Goals

The assistant director offers individual career counseling, internship, and job-search advising to students and alumni, develops and presents workshops, and develops positive relationships with students, employers, faculty, staff, alumni, and parents. The assistant director also serves as primary administrator of career services' technology systems, and provides leadership and assistance in web-based technology, data collection, management, and reporting

Responsibilities

Career Counseling/Programming

  • Assists students in clarifying academic and career goals through individual career counseling.
  • Administers and interprets career inventories (e.g., MBTI, COPS, and LVI).
  • Assists students in using career resource library and finding information on the web.

Assistant Director, On-Campus Recruiting (medium public university)

Summary

The assistant director's main purpose is to maintain and develop effective relationships with employers and coordinate recruiting programs and activities.

Responsibilities

Employer Development
Recruit new employers through, outreach, networking, and faculty and alumni contacts. Encourage and increase employer involvement in career center activities and programs. Promulgate the development of internship opportunities sponsored by employers. Develop and maintain electronic database of employers. Maintain contact with area employer organizations, chambers of commerce, CHRA, and government agencies.

On-Campus Recruiting
Coordinate all aspects of the on-campus recruiting program for students, alumni, employers, and faculty constituencies. Work with the administrative assistant to ensure semi-annual recruiting program functions at optimal level. Conduct employer outreach to disseminate information about the career center's employment services, especially targeting underrepresented types of organizations. Promote program to students and alumni. Encourage faculty involvement. Conduct training sessions on the job-search process including use of eRecruiting for on campus recruiting. Schedule and coordinate employer information sessions and information tables.

Career Counseling

  • Provide career counseling to undergraduate and graduate students and alumni/ae.
  • Administer and interpret vocational assessments. Remain current on contemporary, potentially useful assessment instruments.
  • Critique resumes and advise clients about all aspects of the job search.
  • Provide walk-in and resume clinic appointments to clients.
  • Conduct videotaped mock interviews; provide critique and suggestions to client.

Internship Program

  • Coordinate all aspects of internship program—recruiting employers, site development, placement and referral, and program evaluation.
  • Maintain records of placements and provide work authorization for international students.
  • Monitor referral process to make sure students are appropriately matched.
  • Assist employers in developing intern programs and opportunities.

Job posting and Placement Activities

  • Coordinate the processing for all job postings.
  • Develop procedures for processing jobs and internships that come into the career center.

Programming
As requested by director:

  • Assist with career development programming for clients,
  • Develop and conduct workshops on a variety of topics, and
  • Assist with development and coordination of special events, e.g., Career Preview, Java Jam, career fairs.

Administration

  • Accurately and efficiently use technology to coordinate on-campus recruiting program. Educate and train staff, as needed, on this recruiting module.
  • Accurately maintain and update client information in the web-based system career registration system. Route incoming jobs to appropriate service areas. Familiarize self with and keep current on updated versions of web-based system career registration system.
  • Use computer software for correspondence, creating documents, presentations, etc.
  • Hire, supervise, and evaluate graduate assistant(s) and student assistants. As requested by director, assist in hiring, supervising, and evaluating the career center's support staff. Regional Job Fair
Take a leadership role in the coordination of the Central Maryland College Job Fair. Promote event to university students.

Criminal Justice Fair
Coordinate annual fair, working with the criminal justice department. Recruit new employers. Maintain data base of participants. Promote event to students and employers. Coordinate and set up registration process.

Decision Making
Typical decisions made by the assistant director include:

  • to determine best practices for on-campus recruiting program;
  • to determine amounts and types of involvement with employers for the purpose of enhancing all facets of employer recruiting;
  • to determine appropriate counseling strategies to adopt with clients;
  • to analyze current career-related information and present findings to staff;
  • to regularly analyze and evaluate graduate assistant duties, and prescribe recommendations for efficient use of those personnel.

Contacts
The assistant director will:

  • Meet with employers for the purposes of job development and recruitment;
  • Meet periodically with faculty and staff to discuss partnering for events;
  • Conduct class visits for information purposes;
  • As member of internal and external committees, attend meetings, typically on a quarterly basis. Committees might include but are not limited to: Central Maryland College Job Fair, alumni committees; and
  • Participate in membership organizations providing professional development.

Supervision

Supervision Received
The assistant director will be supervised by the director of the career center. Typical problems referred to the director by the assistant director include: handling difficult clients, administrative and procedural questions, creating and meeting professional objectives, availability of resources to support professional functions and objectives, and issues regarding the on-campus recruiting program and employer outreach. The assistant director will receive instructions, directions, and/or guidance from the career center director and the vice president for student affairs and enrollment management.

Supervision Given
The assistant director will supervise the graduate assistant(s).



Assistant Director - Recruiting Services (large private university)

Description/Goals

Serve as the primary liaison between career services and all recruitment clients currently participating in the on-campus interviewing program. Responsible for all matters related to scheduling interviews, interview sign-up systems, credentials preparation and distribution to prospective student employers, and maintenance of the automated systems required for these and other activities. Provide professional public relations and career opportunity acquisition for the students and alumni in search of job possibilities.

Responsibilities

  • Manage the on-campus recruitment program for the university career services.
  • Coordinate recruiting and college relations visits with industry, government, and education representatives; schedule interviewing rooms and/or group meeting facilities both in the center and across campus; coordinate special meetings, faculty/employer luncheons and the like.
  • Maintain calendar of recruiting schedules, making changes as necessary based on needs of recruiters, availability of space, and class/work schedules of the students.
  • Coordinate teacher interviewing days each semester in conjunction with the School of Education student-teaching calendar; manage all scheduling, interviewing, and follow-up activities specifically for employment possibilities at the pre-kindergarten through grade-12 levels.
  • Prepare and distribute in-depth recruitment and special presentations calendar to all students and academic departments and coordinate electronic publication of these events through the campus-wide computer network and other advertising media.
  • Manage the computerized employer database, ensuring current contact information for immediate response to requests for prospective employer staffing needs and student contacts.

Assistant Director/Scholarships Adviser, Career Services (medium private college)

Description/Goals

Divides responsibilities between graduate school advising, scholarship, and career counseling components of career services. Serves as primary scholarships and general graduate school adviser; back-up health careers and pre-law adviser. Provides one-to-one career counseling and advising to students and alumni(ae). Develops and delivers multiple workshops and programs. Supervises support staff. Shares coordination of operation functions for graduate advising area on rotating basis.

Responsibilities

Scholarship Advising

  • Serves as primary adviser in career services for undergraduates and alumni(ae) with regard to competitive scholarships and fellowships; campus representative for various national undergraduate and graduate fellowships, scholarships, and grants. Advises students individually about scholarships suitable for their project or study plans and assists them with the details of the application process. Makes suggestions for revisions. Keeps student data and appropriate contact information on students who request scholarship applications.
  • Arranges group meetings, with special emphasis on the more competitive scholarships, to alert students to opportunities and to encourage them to get an early start on competitions with early fall deadlines. Fosters student interest in and pursuit of such opportunities.
  • Serves as liaison with faculty and administrators to encourage competitive students to apply for various awards. Plans scholarship calendar. Sets campus deadlines for national scholarships. Establishes notification dates for targeted students for specific scholarships.
  • Assists in the administration of all scholarship/fellowship programs. Coordinates recognition ceremonies and dinners for award recipients; mock interviews for top applicants.
  • Serves as executive secretary to the committee on graduate fellowships. In consultation with chair, communicates with external scholarship agencies and foundations in support of our applicants. Attends appropriate conferences on national fellowships.
  • Conducts research on national fellowships and grants. Coordinates collection and dispersal of fellowships and grant information. Supervises the creation of fellowship brochure.

Graduate School Advising

  • Provides individual and group advising for applicants to graduate schools in general (emphasis on application procedures). Serves as back-up adviser for students interested in health- and law-related careers.
  • Develops and delivers workshops, career programs, and special events associated with graduate school advising.
  • Updates handouts and website pertaining to application procedures. Maintains reference materials in library including statistics from recent graduates concerning where they applied and were accepted.
  • Assists in the management and implementation of all credentials systems within graduate advising.
  • Coordinates visits to campus by admissions directors.
  • Serves as a liaison to student groups, clubs, and organizations.
  • Serves as a liaison to academic departments when assigned.

General Career Counseling/Job Search Advising

  • Offers individual career counseling/job-search advising to undergraduates at all levels of academic progress. Assists students in using career resource library, CS website, Alumni(ae) Career Advisory Network, etc.
  • Interprets SIGI-Plus, Strong Interest Inventory, and Myers Briggs Type Indicator results.
  • Participates in the design and delivery of general career services workshops, career programs, and special events.

Operation Responsibilities

  • Monitors workflow to ensure appropriate staffing and project completion.
  • In consultation with other assistant director, regularly reviews priority of projects.
  • Monitors calendar for anticipated shifts in service activity (i.e., medical school deadlines, scholarships, etc.)
  • In consultation with other assistant director, reviews efficiency of procedures/processes, including use of technology for service delivery.
  • Monitors impact of office-wide services/activities on the graduate advising area and vice versa.
  • Receives and reviews vacation requests by graduate advising staff in relationship to workload and priorities.
  • Convenes and sets agenda for weekly meeting of graduate advising team.
  • Ensures that training schedules are set to prepare each adviser and administrative assistant in graduate advising to cover each other's functions on an as needed basis.

General Office Responsibilities

  • Supports the general administrative functions of career services such as data collection and analysis and evaluating the effectiveness of career services' programs.
  • Represents career services on college committees and at designated professional conferences and on-site sessions hosted by employers.
  • Provides submissions for office publications and electronic communications.
  • Participates in the selection of grant recipients and nomination of candidates for competitive internships.
  • Performs other duties as assigned.

Qualifications

Education
Master's degree in counseling, education, or a related field of study with two to three years of relevant professional experience in career development, job-search, and/or graduate school advising/scholarships; or the equivalent.

Special Requirements
Consummate team player and relationship builder who thrives on student interaction. Must be extremely well organized individual with excellent follow-through ability. Skilled presenter with polished writing and editing skills. Strong diversity advocate. Should combine rich understanding of liberal arts with special appreciation for post-graduate study/funding possibilities. Some evening and weekend work required. Familiarity with MacIntoshes and Internet usage highly valued.



Assistant Director/Technology and Web Support, Career Services (medium private college)

Description/Goals

The assistant director offers individual career counseling and job-search advising to undergraduates and serves as primary administrator of career services' technology systems, providing leadership in data collection, management, and reporting.

Responsibilities

Career Counseling/Programming

  • Assists students in using career resource library and finding information on the web.
  • Interprets career inventories (e.g. Myers-Briggs Type Indicator, Strong-Campbell).
  • Participates in the design and delivery of career discovery programs and panels.
  • Helps students develop and refine resume writing, interviewing, and job-search skills.
  • Develops and delivers workshops and career-related programs, including new initiatives on how best to use the Internet for career discovery/job-search purposes.

Technology

  • Develops and manages career services' Internet presence. Acts as liaison with college computer support staff.
  • Supervises student career assistant who works specifically on Internet and technology issues including web page maintenance and updates. Performs HTML web maintenance in absence of career assistant.
  • Provides guidance to staff on strategic acquisitions/investments in hardware, software and consulting services to advance department's educational mission.
  • Diagnoses routine hardware and software problems; installing new or upgraded equipment; scheduling of regular and special systems/software maintenance.
  • Offers user support and training to professional and student staff on how to use educational and administrative information systems. Develops presentations.
  • Maintains the career services server for alumni advisory network, credentials and Meeting Maker.
  • Assists staff in design of database management systems.
  • Establishes priorities, policies, and procedures for data collection and management.
  • Develops mechanisms for tracking and reporting data/statistics, both for internal and external consumption.

General Office Responsibilities

  • Serves as liaison to student groups, clubs, and organizations.
  • Represents career services on college committees, at designated professional conferences, and on-site sessions hosted by employers.

Qualifications

Education
Master's in counseling or in education.

Experience

  • Two to three years of professional experience in career development and/or job-search counseling; or the equivalent.
  • Working knowledge of HTML, web page maintenance, and development; ability to install systems software on Macs and PCs.
  • Experience with database develoment and management (Filemaker Pro preferred).
